INTRODUCTION
Welcome to the Online Charge Card Processing System. This online help file is designed to provide you with basic help for using the web application. If you need additional help please call Renu Chaudhry, at 703 - 390 - 6691 or email renu_chaudhry@nbc.gov.

BROWSER REQUIREMENTS
To use the application, you must be using a version 4 or newer web browser. The web browsers that have been tested for the application include Microsoft Internet Explorer 4, 5.0, and 5.5; Netscape Navigator 4.7; and Opera 5.0. Additionally, your web browser must have its cookies enabled and JavaScript enabled; these are the default settings for most browsers. This web application uses session cookies only. There are NO persistent cookies and NO cookies written to your hard drive.

Login to the System:
In order to access the functions in the web application, you must login with your username and password. With a successful login, you will be authenticated and presented with a confirmation message and a PROCEED button. Click the PROCEED button to continue. If you are unsuccessful with a login, you will be presented with the opportunity to try to login again. If you are unable to login, please contact Renu Chaudhry, at 703 - 390 - 6691 or ______________________.

Add a new user:
Simply fill the form and click add user button. The new user will be added to the system.

Update an existing user:
Select a user form the list. Once the specific user is determined from this list, the user can click on the link to edit that record. Edit the record as necessary. Click Update User button to update the user.

Delete an existing user:
Once the specific user is determined from this list, the user can click on the delete button to delete that record. The system will ask to verify if you really want to delete the record. Clicking on OK will delete the record. Clicking on Cancel won't do anything.

Update my account:
The user can click on the link to edit their own record. Edit the record as necessary. Click Update User button to update your account.

Process a Payment:
Please choose a service from the drop down list. It is very important to choose the right service because the whole transaction is based on it. if you are not sure about the service, Please contact --------------------------. Fill the form with the information of Credit Card holder. Revenue Account is the Finance account number, to which the payment will be deposited. Click Ready to Pay button. The next screen will allow you to look at the information. If everything is correct, click on Ready to Pay button. Otherwise click on Make Corrections to edit your information. The system will ask you to input your credit card number.

Process a Refund:
To get access to these pages, you will need userid and password. Please contact Renu Chaudhry, at 703 - 390 - 6691 or ________________________-

View Transactions:
Once the specific transaction is determined from this list, the user can click on the link to view that record.

CREATE A CUSTOM REPORT
This menu item allows you to select items to add to your custom report. Once you have selected the items you want to appear in your report, click the Submit button to create your report. If you make a mistake, click the Clear button and the items you selected will be cleared.

If your custom report generates too much data, try selecting more items to narrow your report scope. If you custom report generates no data, try including less items to broaden your scope.

Once your report has been generated, you may sort on the various report items (columns) to rearrange your report for your convenience. To resort on any column, select the column that you wish to resort from the drop down list and click SORT.

CUSTOM REPORTS
  • Transaction ID: This is a ID number assigned to each record in system. To include this item in your Custom Report, click the check box. If data is available, it will appear when your custom report is generated.

  • Date: This is the date that a particular transaction was done. To include this item in your Custom Report, click the check box. If data is available, it will appear when your custom report is generated.

  • User Name: This is the user name. Transactions in system are recognized by user name also. This name is the name of person who did the transaction. To include this item in your Custom Report, click the check box. If data is available, it will appear when your custom report is generated.

  • User Phone Number: This is the phone number of user who did the transaction. To include this item in your Custom Report, click the check box. If data is available, it will appear when your custom report is generated.

  • Agency Name: This is the name of agency of the transaction. To include this item in your Custom Report, click the check box. If data is available, it will appear when your custom report is generated.

  • Billing Address: This is the billing address of the transaction. To include this item in your Custom Report, click the check box. If data is available, it will appear when your custom report is generated.

  • Revenue Account: This is the revenue account of the transaction. To include this item in your Custom Report, click the check box. If data is available, it will appear when your custom report is generated.

  • Purchase Description: This is the purchase description of the transaction. To include this item in your Custom Report, click the check box. If data is available, it will appear when your custom report is generated.

  • Authorization Number: This is the authorization number of the transaction. To include this item in your Custom Report, click the check box. If data is available, it will appear when your custom report is generated.
CUSTOM REPORTS
  • User Email Address: This is the Email Address of user who did the transaction. To include this item in your Custom Report, click the check box. If data is available, it will appear when your custom report is generated.

  • Agency location Code: This is the ALC Number assigned to each agency. To include this item in your Custom Report, click the check box. If data is available, it will appear when your custom report is generated.

  • Charge Amount: This is the charge amount of each transaction. To include this item in your Custom Report, click the check box. If data is available, it will appear when your custom report is generated.
CUSTOM REPORTS
  • Type of Service: This is the type of service of each transaction - e.g. the transactions for Creative Communication Services are prefixed with 'cre', Drug Testing with 'dru' and Telecommunications with 'tel'. To include this item in your Custom Report, click the check box. If data is available, it will appear when your custom report is generated.
CUSTOM REPORTS
  • Date From This is the date that a transaction was done . To include this item in your custom report, enter a range of dates you are interested in starting with a FROM date and ending with a TO date. Records within this date range (if any) will be included in your report. You may enter dates in the following formats: 01/01/01; 01/01/2001; Jan 2001; January 01, 2001; 01-01-01; 01-01-2001. Use any of these date formats putting in the dates you are interested in.
CUSTOM REPORTS
  • Charge Amount From This is the charge amount of a transaction. To include this item in your custom report, enter a range of number you are interested in starting with a FROM and ending with a TO. Records within this number range (if any) will be included in your report.

  • Revenue Account This is the revenue account of a transaction. To include this item in your custom report, enter the exact number you are interested . Records with this number (if any) will be included in your report.

  • Transaction ID This is the Transaction ID of a transaction. To include this item in your custom report, enter the exact Transaction ID you are interested . Records with this number (if any) will be included in your report.

  • User last Name This is the last name of the user who did this transaction. To include this item in your custom report, enter the exact last name you are interested . Records with this name (if any) will be included in your report.
CUSTOM REPORTS
  • Agency Name This is the Agency Name of a transaction. To include this item in your custom report, enter the exact Agency Name you are interested . Records with this number (if any) will be included in your report.
Logout of Application:
Once you are finished using the web application, it is important for you to use the LOGOUT icon at the bottom of each screen.
